TTC Meerdaal Leuven attaches great importance to your privacy and the protection of your personal data. In this privacy statement we want to provide clear and transparent information about how we handle personal data. We do everything we can to guarantee your privacy and therefore handle personal data with care. TTC Meerdaal Leuven complies in all cases with the applicable laws and regulations, including the General Data Protection Regulation (also known as GDPR).
This means that we in any case:

  • process your personal data in accordance with the purpose for which it was provided, these goals and type of personal data are described in this Privacy Statement;
  • processing of your personal data is limited to only those data that are necessary for the purposes for which they are processed;
  • ask for your explicit permission if we need it for the processing of your personal data;
  • have taken appropriate technical and organizational measures to ensure the security of your personal data;
  • not pass on personal data to other parties, unless this is necessary for the implementation of the purposes for which they were provided;
  • are aware of your rights as a data subject regarding your personal data, want to draw your attention to this and want to respect them.

What data do we keep and what do we use it for?

  • You are a member of TTC Meerdaal:
    • All basic information necessary for our operation:
      • your name, address and other contact details (e-mail address(es) and/or telephone number(s): we use these to inform you about competition and training sessions, and other activities organized by the club such as quiz and eating day
      • gender and date of birth: these are necessary for the organization of competition and planning of the training sessions
      • If applicable, your ranking and VTTL ID: also needed for competition
    • As part of our fair play policy, we also keep records of sporting incidents in which you are involved (what happened, where, when, who reported it). We use this data to correct unsportsmanlike behaviour, we refer to our fair play charter for further information.
    • The history of your membership:
      • in which seasons were you a member
      • If applicable, your VTTL ranking in that season
  • You are a sympathizer (sponsor, ex-member, parent of a member, …):
    • Your contact details: we use these to keep you informed of activities organized by TTC Meerdaal. You will also receive the club newsletter. You can unsubscribe from this newsletter at any time via the link in the newsletter itself.
    • If applicable, the history of your membership
  • You have ever participated in an activity of TTC Meerdaal, such as the quiz: we keep your name and e-mail address to contact you if we organize a similar activity again.

How long do we keep your data?

  • We keep unlimited membership history. We use this to map the evolution of the club.
  • We keep contact details of members as long as you are a member
  • We keep contact details of ex-members and sympathizers until you let us know that you no longer want this.
  • Data related to fair play will be deleted as soon as someone is no longer a member. The history of such incidents for a particular player is also cleared once there are no more incidents reported for that player for one year.

How can I view, change or delete my data?

You CANNOT delete data about fair play yourself. As mentioned above, the history of such incidents for a particular player will be cleared once there are no more incidents reported for that player for one year. This data will also be deleted once you are no longer a member.

You cannot delete the history of your membership. If you wish, it can be made anonymous, in that case we will only keep your gender, year of birth and town of residence.

To whom do we pass your data?

  • If you are also a member of the VTTL via TTC Meerdaal, we will pass on your contact details, age and gender.
  • We pass on lists of members to the city of Leuven to check the subsidies we receive from them. These lists contain your name, address, VTTL ranking if applicable and your date of birth.
  • We send mailings usually via MailChimp. So in principle, this platform has access to your e-mail address. However, their policy forbids them to use this address for any purpose whatsoever.

Who has access to my data?

Your contact details and the history of your membership are accessible to the members of all governing bodies of the club and the trainers.

Data regarding fair play is only accessible to the board, technical committee and youth board. Of course you also have access to the incidents that concern you. You can also send an email to privacy@meerdaal.be for this.
